I. Payment & No Refund Policy

Finality of Purchase

All payments made to Royalty Weekend 2027 are final and non-refundable under any circumstances. This includes but is not limited to:

• Royal Access Event Band purchases ("Secure The Crown")
• Hotel Bundle purchases — The Royal Quad, The Imperial Triple, The Sovereign Double, and The Monarch Single (a combined hotel + event-band package billed as one transaction at Stripe checkout)
• Imperial Realm VIP table reservations
• Celebration package bookings (birthdays, anniversaries, milestones)
• $75 placeholder deposits and all subsequent payment-plan installments
• Add-ons and experiences

Hotel Bundles

Each bundle (Quad / Triple / Double) is sold as a combined product covering one hotel room for three nights plus the corresponding number of Royal Access Event Bands. The displayed price is per person and reflects the hotel portion only — the additional cost of the event bands is added at Stripe checkout, and the final total is the bundled amount you authorize at the time of purchase. The Monarch Single is available by inquiry only via the contact form.

Deposits ($75 Lock-It-In)

The $75 per-person deposit secures your spot but does not constitute a complete booking on its own. After paying the deposit, you must contact Royalty Weekend at Info@RoyaltyWeekend.com within 7 days to:

• Confirm the bundle you wish to book (Royal Quad, Imperial Triple, or Sovereign Double)
• Provide the names of all guests in your party
• Receive your custom payment plan and final balance

If you fail to make contact within 7 days, your deposit may be applied to a default Royal Quad reservation at our discretion, or held as credit until you respond. The $75 deposit and all subsequent installment payments are 100% non-refundable. Payment of any deposit constitutes full acceptance of these Terms & Conditions.

Custom Payment Plans

After paying the $75 deposit, Royalty Weekend will issue you a custom installment schedule via email. Payment plan terms (number of installments, due dates, payment method) are negotiated individually and confirmed in writing. The full balance must be paid in full no later than December 1, 2026. Guests who default on a custom payment plan forfeit all amounts previously paid. Royalty Weekend does not offer extensions beyond the December 1, 2026 deadline.

Chargebacks

Any attempt to initiate a chargeback via a credit card company or banking institution will be considered a breach of contract and will result in the immediate forfeiture of all event bands, accommodations, and deposits without refund. Royalty Weekend reserves the right to pursue legal action for any disputed charges.

II. Acceptance of Terms

You must be 18 years of age or older to purchase Event Passes, book accommodations, reserve Imperial Realm tables, or create a member account. By registering, you confirm you meet this age requirement.

Royalty Weekend reserves the right to refuse service to any individual at its sole discretion.

III. Resort & Event Access

Westin St. Thomas Requirement

Guests acknowledge that staying at The Westin St. Thomas Beach Resort & Spa is required for full access to on-site amenities and exclusive off-site events, including the Crystal Waters private event at St. John and the Private Island experience. The most direct way to secure your stay is through one of the Royalty Weekend Hotel Bundles, which combines accommodation with the required Royal Access Event Bands in a single transaction. Guests who book the Westin independently are responsible for separately purchasing Royal Access Event Bands and notifying Royalty Weekend so the booking can be linked to their account.

Royal Access Event Band

A valid Royal Access Event Band must be linked to a registered guest to gain entry to the curated itinerary events. Hotel Bundle purchases include the appropriate number of Event Bands automatically (Quad: 4, Triple: 3, Double: 2, Single: 1). Royalty Weekend is not responsible for guests who fail to complete both their hotel arrangement and Event Band registration.

Event Entry

All guests must present valid government-issued photo identification at all events. Royalty Weekend reserves the right to deny entry to any guest who cannot verify their identity or who violates the dress code for any event.

Dress Code

Each event has a specified dress code. Guests who do not comply with the dress code may be denied entry without refund.

Early Bird Pricing

Sales officially open May 1st. Early Bird Special (save $75 OFF per person) is valid May 1st – July 4th. Discounts are applied at checkout during the promotional window and cannot be applied retroactively.

IV. Transfers & Name Changes

While payments are non-refundable, guest name changes on Event Passes and accommodations may be permitted subject to the following conditions:

• Name change requests must be submitted no later than November 1, 2026
• A $50 administrative fee applies to all approved name changes
• Name changes are subject to approval and are not guaranteed
• Event Pass or accommodation transfers to third parties are permitted only with written approval from Royalty Weekend

V. Guest Conduct

All guests are expected to conduct themselves in a respectful and lawful manner throughout all Royalty Weekend events. Royalty Weekend reserves the right to remove any guest from any event without refund for:

• Disruptive, aggressive, or threatening behavior
• Violation of the resort's rules and regulations
• Illegal activity of any kind
• Harassment of other guests or staff
• Intoxication beyond reasonable limits

Royalty Weekend is a private event. All guests attend at their own risk. Royalty Weekend is not responsible for personal injury, loss of property, or any other damages incurred during events.

VI. Privacy Policy

Royalty Weekend collects personal information including name, email, phone number, and payment details solely for the purpose of managing event registrations, communications, and payments.

• We do not sell or share your personal information with third parties except as required to process payments (Stripe) or deliver communications
• Your information is stored securely and protected using industry-standard encryption
• By creating an account or making a purchase, you consent to receiving event-related communications from Royalty Weekend
• You may unsubscribe from marketing communications at any time

VII. Limitation of Liability

Royalty Weekend and its organizers shall not be liable for any direct, indirect, incidental, special, or consequential damages arising from attendance at or inability to attend any Royalty Weekend event, including but not limited to:

• Travel delays, cancellations, or missed flights
• Weather-related disruptions
• Personal injury or property damage
• Acts of God, natural disasters, or force majeure events
• Government-imposed travel restrictions

In no event shall Royalty Weekend's total liability exceed the amount paid by the individual guest for their specific purchase.

VIII. Changes to Events

Royalty Weekend reserves the right to modify, reschedule, or cancel any event, artist appearance, activity, or experience at any time without notice. All events are subject to change. Changes to event programming do not constitute grounds for refunds.

In the unlikely event that Royalty Weekend must cancel the entire event due to extraordinary circumstances, guests will be offered credit toward a future event of equal value.

IX. Ambassador Program

Royalty Weekend operates a referral Ambassador program. By applying to become an Ambassador, you agree to the following additional terms:

Eligibility & Approval

• You must be 18 years of age or older.
• Applications are reviewed within 24-48 hours. Approval is at the sole discretion of Royalty Weekend and may be declined without explanation.
• Royalty Weekend may suspend or terminate any Ambassador account at any time for inappropriate conduct, misrepresentation, or violation of these terms.

Commission & Attribution

• Ambassador attribution is established by tracked referral link or promo code at the time of purchase. A 30-day attribution window applies — commissions are earned only when a purchase occurs within 30 days of the referred guest's first click.
• Commissions are calculated on the net revenue of completed, non-refunded purchases only. Chargebacks, refunds, and cancelled orders do not earn commission.
• Each completed Stripe transaction credits the Ambassador with one (1) paid referral toward their tier — including Hotel Bundle purchases (Quad, Triple, Double) and standalone Event Band purchases. A guest who purchases a single Hotel Bundle counts as one paid referral, regardless of how many event bands are bundled inside it.
• $75 deposits do not earn commission until the full bundle balance is paid. The deposit is treated as a placeholder; tier credit and commission are granted only when the corresponding Hotel Bundle is paid in full.
• Commission rates and payout schedules are communicated via the Ambassador Portal and may be adjusted with 30 days' notice.
• Payouts are issued upon Ambassador request through the Ambassador Portal once minimum thresholds are met.
• Payout currency: All Ambassador payouts are denominated and paid in U.S. Dollars (USD). The Ambassador Portal may display estimated conversions to other currencies at request time as a courtesy reference using third-party live exchange-rate data; these conversions are estimates only. The actual amount received by the Ambassador in their local currency is determined by the receiving bank, wallet, or payment processor at the time of receipt and may differ from the estimate. Royalty Weekend is not responsible for currency conversion fees, foreign-transaction fees, or rate differences imposed by third-party services.

Marketing Conduct

• Ambassadors may not make false, misleading, or exaggerated claims about Royalty Weekend.
• Ambassadors may not use the Royalty Weekend logo or imagery in ways that imply official sponsorship or employment.
• Ambassadors may not engage in spam, paid search bidding on Royalty Weekend brand terms, or any other manipulative tactics.
• Violation of these rules may result in forfeiture of earned but unpaid commissions.

Tax Reporting

Ambassadors earning $600 or more in a calendar year will be required to submit a W-9 form and will receive a 1099-NEC for tax reporting. Royalty Weekend is not responsible for Ambassadors' individual tax obligations.

Program Changes & Termination

Royalty Weekend reserves the right to modify, suspend, or terminate the Ambassador program at any time, including reducing or eliminating commission rates going forward. Earned but unpaid commissions at the time of program changes will be honored per the terms in effect at the time of the attributed sale.

X. Website Use & Data Collection

Tracking & Cookies

Our website uses cookies and localStorage to track Ambassador referrals, remember your preferences, and improve site functionality. By using our site, you consent to this tracking. You may clear your browser storage at any time to remove tracking data.

Information We Collect

• Form submissions: name, email, phone, message content, IP address, user agent, and timestamp
• Account information: email, encrypted password, purchase history (for registered users)
• Ambassador applications: personal contact info, social media handles, tax forms (for Ambassadors)
• Payment information: handled entirely by Stripe — we do not store credit card numbers

How We Use Your Information

We use your information solely to (a) process your reservation and purchases, (b) send event-related communications, (c) comply with legal obligations, and (d) improve our services. We do not sell your personal data to third parties.

Progressive Web App (PWA)

Our website may be installed as a Progressive Web App on your device. This creates a home-screen shortcut and enables offline viewing of cached content. Installing the PWA does not grant us access to your device beyond standard web browser permissions.

Push Notifications

If you opt in to browser notifications, we may send you event updates and announcements. You may revoke this permission at any time in your browser settings.
